Tags

Tags are custom keywords or labels that you can add to tasks and subtasks in 5day.io to organize, group, and filter work items efficiently.

Tags are flexible and allow users to classify tasks based on priority, departments, topics, workflows, or any custom criteria. They help in improving searchability, visibility, and context management across projects.

There is no limitation to the number of tags you can create or assign. Tags are free-text based and can be edited or updated anytime.

To use tags, the Tags feature must be enabled at the project level.

Subscription Association

Permission Set

Assignment of tags to tasks and subtasks is controlled through the Edit Task permission set:

  • Edit All – User can assign tags to any task or subtask.
  • Edit Owned – User can assign tags to tasks/subtasks they own.
  • Edit Related – User can assign tags to tasks/subtasks related to their projects.
  • Edit None – User cannot assign or edit tags.

Access and Manage Tags

In 5day.io, tags are free-text and flexible.

There is no restriction on the number of tags you can create and assign.

To enable tagging, the Tags feature must be turned on at Project Settings → Feature → Tags.

Once enabled, tags can be added and managed across tasks and subtasks.

Add Tags

Task/Subtask Details

  1. Open the Task or Subtask Details panel.
  2. Locate the Tags field.
  3. Click on the ‘+ Add’ button; a list of existing tags will appear.
  4. Select an existing tag or create a new tag.
  5. The selected tag will be added to the respective task or subtask.

List View / Board View

  1. Ensure the view is not grouped by Tags.
  2. If the Tags field is not visible, click on Customize, enable Tags, and adjust the display order.
  3. Save the view once customized.
  4. Click on the Tags field for the task/subtask.
  5. Select an existing tag or create a new tag to assign.

My Work

  1. Navigate to My Work.
  2. Select the task you wish to tag; the Task Details panel will open.
  3. Add or create a tag in the Tags field.

Bulk Update

  1. Select multiple tasks or subtasks where you would like to add tags.
  2. A Bulk Update option will appear on the screen.
  3. Click on Tags.
  4. Select from existing tags or create a new tag.
  5. Apply tags to all selected tasks or subtasks simultaneously.

Quick Add (While Creating a Task)

  1. During task creation via Quick Add, after entering the Name and Location, you can assign a tag immediately.
  2. Select an existing tag from the list or create a new one.
  3. The selected tag(s) will be assigned as part of the task creation process.

Remove Tags

Task/Subtask Details

  1. Hover over the assigned tag within the Task or Subtask Details panel.
  2. A Remove icon will appear beside the tag name.
  3. Click on the icon to remove the tag from the task/subtask.

List View / Board View

  1. Click on the Tags field.
  2. The list of assigned tags will open along with a Remove icon.
  3. Remove tags individually as needed.

My Work

  1. Open a task from My Work.
  2. Click on the Tags field.
  3. Remove assigned tags one by one through the Remove icon.

Quick Note

  • You can create and assign as many tags as needed.
  • Tags help in filtering, grouping, and organizing tasks/subtasks efficiently.
  • Tags are editable only if you have the relevant task editing permissions.
